Job Summary

We are seeking a proactive and detail-oriented Account Manager / Operations Analyst to support the successful delivery of a growing healthcare staffing portfolio. This individual will act as a central point of coordination and operational oversight across client management, supplier engagement, onboarding, performance tracking, and timekeeping activities for assigned task orders. The role requires a program-minded professional with strong project management skills, excellent communication, and comfort managing multiple workstreams in a fast-paced environment.

This role directly supports the U.S. Department of Veterans Affairs (VA), specifically the Veterans Health Administration (VHA), and plays a critical role in delivering high-quality staffing services to care for our nation’s Veterans.

Strong communication skills—both written and verbal—are essential to success in this role. The ideal candidate will be able to navigate complex workflows, collaborate across teams, and represent our organization professionally with internal stakeholders, subcontractors, and federal clients.

Primary Responsibilities

Client Management & Reporting

  • Monitor and update staffing rosters and onboarding trackers.
  • Manage and synthesize client meeting notes and action items.
  • Compile inputs and support submission of task order-level client reports.
  • Track and respond to client inquiries across multiple communication channels (e.g., Teams, email).

Candidate Communication & Support

  • Monitor candidate email traffic and escalate inquiries to the appropriate teams.
  • Serve as a liaison between clients and candidates to resolve issues related to onboarding, performance, or scheduling.
  • Coordinate with HR and Recruiting for support as needed.

Supplier & Subcontractor Oversight

  • Maintain regular communication with subcontracting partners.
  • Track supplier performance issues and support invoice/payment coordination.
  • Assist in resolving timekeeping discrepancies tied to supplier staff.

PMO & Operational Support

  • Manage internal job requisitions for funded roles in the ATS and VMS systems.
  • Oversee timekeeping and timesheet submission workflows.
  • Coordinate invoice generation and submission processes in collaboration with Finance.
  • Supports security tracking and escalations for new and active staff.
  • Serve as a point of continuity across performance, credentialing, and compliance touchpoints.

Minimum Qualifications

  • 3–5 years of experience in a healthcare staffing environment supporting deployed teams of nurses, physicians and clinical technicians
  • Familiarity with Veterans Health Administration (VHA) structures, policies, and compliance protocols strongly preferred.
  • Exceptional communication skills and the ability to synthesize, escalate, and resolve issues across a diverse stakeholder group.
  • Strong organizational skills and attention to detail.
  • Proficiency with collaboration tools (e.g., Microsoft Teams, Jira, etc.).
  • Ability to work independently and cross-functionally in a lean, high-volume environment.
  • Demonstrated team-first attitude, with a willingness to adapt, learn, and support others outside your formal job scope.
  • Comfort operating in a startup-like, ambiguous environment with a strong sense of ownership and follow-through.
