Job Summary

Aptive Resources is seeking a Workgroup Support and Field Engagement Specialist to support the Veterans Health Administration (VHA) Office of Healthcare Technology Management (HTM). This role serves as a key liaison between program leadership and field-based stakeholders, including clinicians, biomedical staff, and facility leadership, to ensure alignment, communication, and successful implementation of program initiatives. The Specialist will facilitate collaboration across workgroups, helping to translate program priorities into actionable activities while gathering feedback from the field to inform continuous improvement and enhance adoption of telehealth solutions across VA medical centers.

 

Primary Responsibilities

Key responsibilities include coordinating and supporting workgroup meetings, preparing materials and summaries, and tracking action items and deliverables across stakeholder groups. The Specialist will engage directly with field sites to support implementation efforts, identify challenges, and elevate risks or best practices to program leadership. Additional responsibilities include supporting stakeholder communications, contributing to training and engagement activities, and maintaining documentation related to workgroup activities and field feedback. The ideal candidate brings strong organizational and interpersonal skills, experience working in healthcare or federal environments, and the ability to effectively support collaboration across geographically dispersed teams in a mission-driven setting.

Minimum Qualifications

  • Bachelor’s degree in Public Health, Healthcare Administration, Business, Communications, or a related field
  • 6+ years of experience supporting program coordination, stakeholder engagement, or operations in a federal or healthcare environment
  • Demonstrated experience coordinating meetings, workgroups, or cross-functional teams across multiple stakeholders
  • Strong organizational skills, with the ability to track action items, deliverables, and follow-ups across multiple workstreams
  • Excellent written and verbal communication skills, including experience preparing meeting materials, summaries, and stakeholder communications
  • Experience engaging with diverse stakeholders, including clinical, technical, and administrative personnel
  • Ability to synthesize feedback from multiple sources and communicate insights to program leadership
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as Microsoft Teams and SharePoint
  • Ability to manage multiple priorities in a fast-paced, distributed team environment
  • Strong attention to detail and ability to maintain accurate documentation
  • Ability to obtain and maintain a Public Trust clearance

Desired Qualifications

  • Prior experience supporting the Department of Veterans Affairs (VA)
  • Experience engaging directly with field-based stakeholders (e.g., clinicians, biomedical staff, facility leadership) across geographically dispersed sites
  • Familiarity with telehealth, healthcare operations, or health IT programs and terminology
  • Experience supporting implementation or rollout of healthcare or technology initiatives at the facility or regional level
  • Demonstrated ability to facilitate discussions, workshops, or stakeholder sessions to drive alignment and outcomes
  • Experience contributing to process improvement efforts, including identifying trends, risks, and best practices from field feedback
  • Proficiency with collaboration and tracking tools (e.g., SharePoint site management, Teams channels, action trackers, dashboards) beyond basic use
  • Experience supporting training, outreach, or user engagement activities to promote adoption of new programs or technologies
  • Strong stakeholder management skills, including the ability to build relationships and navigate complex organizational structures
  • Experience working in a matrixed organization or supporting large, multi-contractor programs
  • Active Public Trust or higher-level security clearance
